Company Profile

Keiraya is a rental solutions company, that provides quality furniture and appliance rental offerings. Initially focussed on the expatriate market, Keiraya ( through it’s brand Furlenco ) has since expanded to provide package solutions for the local market as well. .

Why did this company required an ERP?

The business is operationally complex with many variations in pricing, long running contracts, asset tracking over multiple rental cycles and monthly invoicing and payment schedules. An ERP system is required to track this data and manage the processes

Given that the company was a start-up and building a new market, there was a need for staff to focus on customer engagement, discretionary decision making and evolution of the product line, for which they had to be released from automatable operational activities . The ERP ( as well as do-it-yourself functionality ) on the website enables this

The data from the systems was seen as a key enabler for operational decisions – like vendor / product performance .

Company has ambitions of scaling rapidly and operational efficiency and accuracy are key enablers for this.

Why did this company opt to implement OB?

Product – from a flexibility and architectural perspective, the key stakeholders, who had a software background , saw this as an appropriate vehicle that could provide an operational platform and be extended and integrated with other systems as their business scaled.

Affordability – given the size of the business when it was started , the price – subscription and implementation – was a key consideration to go with Openbravo.

Implementation Team – the implementations team’s ability to understand the business processes and the challenges and extend Openbravo’s capability to meet their needs

The result

The initial project ( first phase ) was implemented in 4 months . Some of the highlights was a high energy project initiation workshop that set the tone for the implementation and . an iterative development phase of the implementation where feedback was sought for and received along the way.

The system has been in use for more than 2 years and functionality has been gradually enhanced during this period. Given the evolution of the business, many of the deferred functionalities of the first phase were replaced by other pressing priorities as the business evolved.

Some of the key functionalities that were delivered were

  1. Tracking of rental assets from acquisition to disposal through multiple rental-refurbishment cycles.
  2. Rental contract and financials ( initial contract definition, deposit, monthly invoices and payment, extensions , early closures etc )
  3. Open Office based document templates for all reporting – enabling end-user modifications – without programmatic interventions.

  • Challenges:
    • The functionality ( rental flows ) was not available on the system
    • Since the business was a startup, many of the processes were evolving when the initial ERP discussion was made.
    • While individual steps in the process were implemented , some of the complex txns required multiple decision/review points , which would best have been implemented as a workflow.
  • Solutions:
    • The rental flows were built as custom extensions over Openbravo. Openbravo’s platform capabilities enabled easy development of these functionalities.
    • Both teams ( customer and implementation partner) understood and accepted that the business would evolve – so while a long list of requirements were identified , the initial iteration focused only on the necessary requirements and subsequent requirements were revaluated and incorporated taking in to consideration the additional inputs available as the business evolved.
    • Since Openbravo did not have a workflow solution at that point and the scale of operations was small – individual transactional activities were customized to the business needs. Promantia is currently working with Keiraya to integrate these processes using Openbravo’s Activiti workflow
  • Results:
    • The customer which was a startup when the project started has now scaled into a 200+ organization after multiple rounds of VC funding and is now the leading furniture rental companies in India.
    • Customer target – which was on corporate sales – has now shifted to retail sales and has expanded beyond Bangalore into other cities.
    • Significant functional enhancements including pack based sales, product and pack swaps during the rental period and more complex promotions have been incorporated in the product.
